Hello, my name is Dallas Pierce, and in this lesson I will show you how to schedule a meeting in Zoom. You can schedule a meeting in Zoom through the desktop client or through the website. Today we will use the desktop client, but know that the website is very similar. There are a couple of ways to schedule a meeting. First we will look at how to schedule an instant meeting. This comes in handy when you need to have a meeting with someone with little to no notice. To schedule an instant meeting, click on the New Meeting icon. You will then be asked if you would like to join with computer audio. You can always select Automatically join audio by computer when joining a meeting. As you can see, the meeting has instantly started. Once you are in the meeting, hover your mouse down below and you will see a participants icon. If you select the up arrow, you have the option to invite or copy invite link. I will select copy invite link. You notice that there is a little pop-up that says that the invite link has been copied to the clipboard. Now you can head on over to your email and just hit Ctrl V if you're using a PC or Command V if you're using a Mac and paste that information into the body of an email and send it over to the person that you would like to meet with. And that is how we schedule an instant meeting. I will go ahead and end this meeting and show you a different way to schedule a meeting. More often than not, meetings are scheduled in advance. If you would like to plan for a meeting for a later date and time, you will select the schedule icon. Here you can choose to enter the topic. You can select whatever topic makes sense. Next, you will select the date and time. Then you will want to select the duration of your meeting. If you have a free Zoom account and you select anything over 40 minutes, you will get this pop-up letting you know that You can try Zoom Pro if you would like to have an extended amount of time for your meetings. You have the ability to choose recurring meetings. This will allow you to have a meeting on a regular schedule if you find that you need to have meetings every Friday morning, for example. Be sure that you have the time zone correctly selected, depending on what your time zone is. Next, you will see the meeting ID options. Here, you can choose to generate the meeting ID automatically or use your personal meeting ID. This personal meeting ID is specific to your Zoom account. It is unique and no one else will have the same number. There are a few security options that we see here. The passcode will help allow only participants that you intend to be in the meeting, join the meeting. It will be included on the invite link when you send it to your participants. You also have the ability to select waiting room. This is a security feature that allows you to control when participants can enter the meeting. You may find that you don't want your guests to join the meeting at any time. Maybe you are ending a different meeting prior to the one that you have scheduled. If we scroll down a bit further you have video options. Here You can choose to have the host and participants video on. Next we have a few different calendar options. If you find that your Outlook is synced with your Zoom account, you will want to have this selected. You have the same option with Google Calendar. I will go ahead and select Other Calendars here. Finally, we have some advanced options. Here you can choose to allow your participants to join the meeting at any time. This will allow your participants to join the meeting even prior to you joining the meeting. Although that could come in handy if you are running late or if you will not be present. Do you want to have the participants muted upon entry? This is an option that I like to have. That way there are less disruptions as participants are joining the meeting. Of course, they do have the ability to unmute at any time. Do you like to have your meetings automatically recorded? This is a really great option if you find that you do not want to have to remember to hit the record button for your meetings. Next we have approve or block entry for users from specific countries or regions. If you make this selection, you will have another pop-up that will give you some different options. If you find that your participants are only going to be from one country, you may want to have this selected. Now we can hit save. Because we selected other calendars, we get this pop-up with the meeting invite information. We can copy to clipboard, and then again we can go ahead and paste this into our calendar or paste it into our email and send it to our participants. You will see that it says that invite has been copied to the clipboard. Then, we can close that, and we are brought to the main screen. Because I scheduled that meeting for a different date, the date of the meeting, we will notice in this area that we have an upcoming meeting. And that is how we schedule meetings in Zoom.
