Hello, my name is Darren Mullen. And in these lessons, you will learn about creating and grouping tasks using the Predecessor and Duration columns, as well as how to filter and sort task. Before creating individual task in a project sheet, let's create a top level row for the project and highlight the row to clearly indicate this is the top most level row in the sheet hierarchy. Now let's create the first task. On the row immediately under the project name, I'll enter a task name. I can enter a start and finish date, like this. However, we would like these dates to be rolled up to the project row. In order to do this, we will leverage the hierarchy feature. Simply indent the task row, and it will roll up into the project. The power of this will become more apparent as task are added. Let's add another task. Since I'm adding a row underneath a row, namely Task 1, that is already indented, Smartsheet assumes that I want this row indented as well, and Smartsheet is correct. At this time, I'll add in some more task. Notice how the project row takes into account the earliest task start date and the latest task end date to create the start and finish date for the entire project. The project starts on 10/5 and finishes on 10/18. Another column that leverages the hierarchy relationship between project and task level is the % Complete column. See how the project percent complete updates as I enter the percent complete on each task. The project level percent complete is calculated based on the number of task as well as the percent complete and the duration for each task. As this project sheet stands, there are two levels of hierarchy, the project and the task. But a project plan is not limited to only two levels of hierarchy. Let's split these task into two phases as well, like this. Notice now that the groups of task under each phase are summarized at the phase level in the duration, the start and finish dates, as well as the % Complete column. Phase 2 starts on 10/14, because task five is the earliest task that starts. And task seven ends on 10/18, which gives us the finished date for Phase 2. Similarly, the dates are calculated for Phase 1 as well. The top level project remains as an overall summary of all rows underneath it. Now you know how to create and group task in a project sheet.
