Hello, my name is Darren Mullen, and in these lessons you will learn how to create and edit sheets in Smartsheet, manage columns and rows within sheets, learn how to use hierarchy, as well as the formatting options within sheets. You can create a new sheet using a number of different ways. From the home screen, you can use the Create button, then choose sheet. Alternatively, when viewing a folder or workspace under browse, you can right click in the white space and choose grid. Or if you are in an existing sheet, you can go to the file menu, then choose Create New, and on the next screen you'll choose Grid. Since I'm on this screen, I will choose Grid to create a new sheet. When I do this, I'll be asked to give the sheet a name. If I don't type in a name, Smartsheet will assign the name a new sheet by default. A note about sheet names, it is possible to have more than one sheet with the same name in Smartsheet. So be aware that Smartsheet will not flag the name even if another sheet already exists with the same name. After creating the sheet, I can easily rename the sheet by clicking on the sheet name at the top and typing in a new name. The star next to the name is used to mark the sheet as a favorite for the purpose of finding it in your favorites list. When marked as a favorite, I can view my favorites in the left hand menu. While we're focusing on the top of the sheet, let's move over to the left of the name and I'll explain the three menus. The file menu gives access to some actions that can be performed on the sheet as well as creating new sheets or templates. I'd like to highlight the properties option at the bottom. Clicking on properties reveals the location in Smartsheet where the sheet is stored. In this example, the sheet is located in my sheet's folder. If it was in a different location, it would show the full file path here. This can be useful if you need to understand where a sheet resides, as you can see the exact file path. The screen also shows some details about the sheet, including the sheet ID, which is useful if you find yourself working with a Smartsheet API. At the bottom of this screen is the unique URL for this sheet. This URL can be used to link to the sheet if you need to link to the specific sheet from outside of the Smartsheet environment. The automation menu is the place to create and manage automated workflows for the sheet. To the right of the automation menu is the forms menu, and it is used to create and manage forms for this sheet. Below these three menus is another toolbar. Later lessons will address the options in this toolbar in more detail, but I'd like to discuss the first icon. This button is used to save a sheet, and I want to make you aware that Smartsheet does not save updates automatically. In order for changes to be saved and seen by other users, you must manually click the save button. Also, if you attempt to close a sheet and have unsaved changes, Smartsheet will display a prompt asking you if you want to save or discard your unsaved changes. The prompt will give you the option to always auto save when leaving a Smartsheet item, if you wish to enable this. However, sometimes you may not want to auto save a sheet when exiting, so think about your use case before enabling this option. Moving to the right of the save icon, there's the print icon, the undo and the redo. Then there is the view menu and the filter menu, which is used to create sheet filters. I will leave the explanation of the rest of the icons in this toolbar to the lessons that follow. Before we finish, I want to show you quickly that you can also rename sheets and other Smartsheet items from the browse view by right clicking on the item and choosing rename. Thanks for watching.
