Welcome to Microsoft Outlook 2021 Course for Beginners. In this lesson, we will review how to create and edit contacts in Outlook. Microsoft Outlook provides you the opportunity to create an electronic address book by being able to store the main contact information for all your customers, team members, business and or personal contacts. You can manually add a contacts to your account or import the information from another source. In this lesson we will review how to manually add contacts to your account and how to edit contact information as needed. To begin, you'll open Outlook and select people in the navigation pane. You should notice that the information displayed now reflects contact information that you might currently have saved in your account. You should also notice that the ribbon would now reflect tab names and commands that relate to functions that you would need to complete or use to manage contact information in your Outlook account. To create a new account manually on the home tab you'll click the new contact button in the new group. The contact window will display and you will have the options to enter all the information you have available for the contact person. You have the ability to enter contact information such as the name, company name, job title, website, email address, contact phone numbers mailing address, a picture, and you can also enter pertinent information that you would need to know as it relates to your contacts. For this lesson, we are going to enter a new contact into our account. This contact is going to be a new customer that we've been working with and we will enter the contact's name, phone number company name, email address, and a mailing address. Once you've entered in the contact information that you have you should notice that two things happen automatically. You'll notice that your contact now has a file name. This will allow you to know how to access and view that contact information in your account once it's been saved. So you can see that file name listed up under the option for file as, and you should also see display as so when you are looking for that contact, you'll know how it's saved and how it'll be displayed to identify it later. You should also notice that the sample contact card will reflect the information you entered for your contact. So this gives you the ability to see what that contact information would look like if you were to select the card view in your Outlook account. Once you've entered all the information that you have available for your contact, you would click the save and close button to store that information in your account. So now to view that information, you would just select the contact person's name for the new contact you've added, and you should be able to see the information that you've entered for your contact stored and saved. In Outlook you also have the ability to edit contact information. In order to do that, you could either double click on the name of the contact person that you want to access and make changes to, or additions to or up under the contacts name where you see the three dots, you can click here and choose the option to edit contacts as well from the dropdown list that appears. When the contact window is displayed, to edit the contact, you would either update or change any information that might be different. So if the contact change companies, change titles, have new phone numbers, you can update or change that information in the account. Or if you've obtained some additional information you may not have had when you created the account you can add that information here. So for Mr. Smith, we have obtained a mobile number and a fax number that we want to add to his account. So we're gonna add those numbers to his contact account and then click save and close to update it. And now we have entered a new contact manually and we have edited our contact information as well. Once you've added contacts, you have the ability to view it using the different view options. To access the different view options, you would go to your home tab, and in the current view group you could adjust the view by changing it there. Also, by adding contact to your Outlook account you have the ability to email your contact directly from their contact list. You have the ability to add that contact to groups or save that contact as a favorite now that you have their information stored in your account. This gives you the ability to hopefully now use your Outlook account much more efficiently and being able to organize your contacts within. Thank you for watching.
