You welcome to Microsoft 365 Outlook beginners course. In this lesson, we will review how to create and manage task items in Outlook. My name is Kawana, and I will be your instructional guide for this lesson. To begin, you'll log into your Microsoft. 365 account by going to Office and clicking on the Outlook icon to open the application. One of the features that you can use in Outlook is the ability to. Track to do items. You may currently use paper or some. Other electronic format to keep track of. Upcoming tasks or items that you need. To complete, whether over a daily or weekly basis. Outlook provides you the option to combine your To Do list within your Outlook. Account and allow you to track those. Events and receive reminders to help ensure. That you complete your set goals or agenda items. To create tasks, you would go to. The task area by selecting to do. You have the option of adding task. Items to your My Day area, important. Items that can be flagged as Important. To do items, planned items, and you. Also have the ability to see any tasks that are assigned to you. To add a new task, we'll put your insertion point in the bar here. Where it says to add a task and type in the information that helps you know what that item is for. I'm adding a task item that allows me to keep a reminder that I need to finalize the budget for the conference. So once you enter that information, you. Also have the option to add a due date. If I want to give today as a reminder, something I need to do. Before today ends, or if I want. To have it completed by tomorrow, next. Week, or I can pick a specific day. So here I want to have this budget finalized by the end of the month. So I'm going to set a due. Date of April 20 Eigth. So I'm going to select April 20 Eigth. You can also select Reminder options. So since my due date is April. 20 Eigth, I want to select a reminder for the 24th, and I want. To set it for the morning of. The 24th just to make sure that. I meet that target and click Save, depending on what the item is. If it's something that you do regularly, you can also set that option to. Repeat using the repeat option. So if it's something that I do daily, weekly, monthly, annually, or I can. Customize it for this particular item, we're. Not going to choose the repeat option. But there may be one option for a task that you could use this feature for. Once you've entered the information for your task and apply any settings that you. Would like, you would click the Add button to add that task to your list of tasks. So you should notice now that I. Have a number by three areas in. My task pane that lets me know. That I have a plan task, something. To track on my my day icon and just a general task now within my task area. So again, you can add as many tasks as you need based on things. You have coming up. So now I'm going to add a. Task for scheduling a training. This is something that is important for. Me to get done and I want to set the due date of tomorrow. So I want to make sure I. Complete this task on tomorrow and I. Want to get a reminder tomorrow at. Nine so I don't forget to get started on this event planning right away. So Glenn, again click Add and now. It'S added to my calendar. So when I go to the task. Home, I can now see that I have two tasks that have been added. And I have a star by side one, because that task is important and it's something that's of a priority that I need to complete quickly. So you can add as many tasks as you need to allow you to. Be able to keep track of events. Or actions you need to complete. You also have the option of creating a task from an email item that you've received. So when I go to the mail. Area, I can right click on an. Email item and under Advanced Actions, I. Can create a task for that item. When I click here, the To Do. Pane will open and I can click. To add a task to complete that. Item that's connected to that email. This is also a great way to keep track of things that you might have reviewed in an email message and you want to make sure that you. Remember to complete an action that you. Might not be able to do at that exact moment. So this way it gives me an. Option to be able to quickly make. That task a priority on my calendar. Without having to switch out of the emails that I'm reviewing at the time. So I've added a task here to allow me to review it. If it's something of priority or important, I can mark it as important here. I also have the ability to manage all task items either by going to the task area, by using the button on the icon, the navigation area, or I can go to the My Day. Area, select To Do to activate the To Do task pane and then click on Manage all tasks to take me to My. And it gives me the ability to. Make any updates, changes or additions to my task items I can sort based on importance. So anything that's flagged as of high. Importance, I can make sure that those. Are top priority on the list. I can sort by due date, I. Can sort by tasks that were added. To day area, I can sort alphabetically. Or I can sort by creation date. So if I have several tasks that I'm managing within my account and use these sort options to get to those items that require my attention right away. Once I have completed a task, I can check that task off and it. Will give me notification that that task. Has been completed and it will remove. It from my list of options. So that helps to ensure that I've kind of given myself notification that I've completed any task I've planned. These are some great ways to manage the information that you currently have in your task area. One additional thing that we want to review to help us to keep track of upcoming tasks or events that we. Have planned or agenda items is when. I open up Outlook and I'm in. The mail area can always click on. The My Day icon and select the. To Do tab to be able to. See any upcoming tasks to help me. To keep track of when those items are due or what to do next. If I'm at a point where I need to start working on an upcoming. Task that I've scheduled. So whether you go to the task area, use the My Day add task. From your email, you have various options.
