You welcome to Microsoft 365 Outlook beginners course. In this lesson, we will review how to create and edit contacts in Outlook. My name is Kawana and I will be your instructional guide for this lesson. To begin, you will log into your. Microsoft 365 account by going to Office and logging in. Once in your account, you can access. Outlook by clicking on the Outlook icon. And it'll open in a separate tab. One of the features that's very useful. In Outlook is the ability to add contact information for individuals that you communicate. With on a regular basis. You can create, view and edit contacts. Create contact list, and create groups for. Individuals that you communicate with using the. Commands and tools that are available in the People's area within your Outlook account. In this lesson we will review how to create a new contact from scratch. And how to create a contact from. Information in an email you receive from an individual. To begin, we will go to the. People area by clicking on the People. Icon, the navigation area to the left. Here in the People area of your. Outlook account, you have access to the commands and tools that will allow you to create and manage contact information that. You store within your account. To begin creating a new contact, you. Will click on the New Contact button. On the Home tab and select the. First option which is New Contact. You have the option of adding the first and last name, a picture, email address. You can add any chat information, phone. Numbers, addresses. Any additional work fields that. Might apply to information you've captured, categories. And notes to name some of the. Few pieces of information you can store on your contacts. You would add what information you have. At your disposal and then click Save when you're done. So we're going to enter contact information from one of my coworkers that I frequently communicate with on a regular basis. So I'm adding first and last name and email address. That's the information I currently have to. Add to my contact list. So once you've added the information you have, click Save, and once the contact. Is created, it will be saved in your contact folder by default. And you should now see that contact information displayed on the screen. In the contact list you have abbreviation. Of either an image or icon or their initials. If you didn't put an image in. There, it'll just be their initials, first and last name and email address. And in the reading pane, you'll be. Able to see a snapshot of the. Information that you have at your disposal for that contact. Another option, again, you could either click. On the New button again, or you. Can use the keyboard shortcut to create a contact. So this time we're going to do. The keyboard shortcut shift and N and. It'Ll open up our contact pane and. We can add information for the contact. So John is another contact that I communicate with on a regular basis. So I'm going to add his name. And email address to my contact list. So once you have the information added that you have, you click Save. And now that contact has been added. To my contact list, one additional option. That we'll review for creating a new contact. We're going to go back to our. Mail area and we're going to create. A contact for an individual we've communicated with via email. So I'll put my insertion point on. The email address within the body of the message that I received. If you notice here, this small profile. Card will pop open and it will provide some information. To add this contact to my contact. List, I'll click on the More Options. Button, looks like three dots here and. Choose the option Add to Contacts. So our contact window will open, already populated with the information that was in the actual email. So their name and email address and all I have to do to create a contact is click Save, and when. I go back to the People's area, that contact will be added to my contact list. Once you've created Contacts in Outlook, you do have the ability to edit those. Contacts if you have additional information you like to add. Or you can make changes if they. Have any changes to their contact information. So to edit, you can choose to. Select the contact in the list and click the Edit button and it'll open back up the dialog box window and. Then you can add whatever information you. Currently have to their account. So for John, want to add his. Business address, I have his email now. I want to add his business address. So select Business Address and it'll provide. The fields to enter that information. So I'll add that information to his. Contact profile card. And once I've added. The additional information, click Save and then. It should update his contact information. And we should now be able to. See the address here in the Reading view. I can also select a contact, right. Click on the contact and choose to. Edit that way again, open up the dialog box. I'm going to enter Business Address for. Pam. See the information that I've collected. Once I've completed updating account, click Save and that should be updated as well. Another option for editing, I can click. On the More Options button here in. The Reading pane, choose the arrow. I can edit by adding a category. Using that option, or I can scroll. To the bottom and click Edit Contact. To open and edit the contact as well. So if I've identified any additional information, I can add that way as well. So I'm going to add a note. That we're working together, I'm planning a. Conference and then click Save. So definitely a great way to engage with the information that we need to. Interact or communicate with individuals within or. Outside of our organization that we communicate with regularly. So we've looked at options for adding. New contacts, and we've looked at options for editing contacts. The last option we'll review is if you no longer need a contact, you can always delete that information. So to delete, you would select the. Contact you no longer need. You can choose to delete by clicking. The delete button on the ribbon, or. You can right click and choose the option to delete. Either way, if that contact is no longer needed, it can be removed to your list from your list. Once you're done, stay tuned for the.
