Hello, welcome to Microsoft Visio. In this lesson, we want to look at other types of file formats that you can save your Visio drawings as. One of the most popular is, of course, a PDF or an XPS file format because not everyone has Visio, yet they need access to the drawings for printing and also viewing. So there are multiple ways to do this. You can go up to the file ribbon tab and go down to save as and come, of course, to browse to open up your save as dialog box. Locate where you want the file to go, and then notice, when you go to save as file type, how many different choices you have, and of course, in here, we do have PDF or XPS, but I want to show you a more direct route. Another way to go is to go to file and export. PDFs are so common as a file type in Visio. You'll see here that PDF/XPS is at the top. Now when we select this, notice the things that it's going to try to do; preserve fonts and formatting, content can't be changed, and of course, we know there are free viewers. So all the benefits of a PDF. Now when I come in here, I can either change the name or keep it the same. Notice, also, if I want to see what it's going to look like after it opens, I can check this box. Also, there's a standard publishing size or there is a minimum size when it's going to be something that will be viewed online. The options box just takes you into decide what portion of your Visio drawing you're going to do. Are you going to do the whole thing or just the current page? Would you rather it be colored, in a black and white? And do you want it to include background and other document information? We're going to keep all of these checks and then click on OK, and then say publish. Now what should happen after it's been, again, saved, it still looks the same in Visio, but because I asked it to open the PDF copy, now we can see what it looks like in an online PDF viewer, and it looks exactly like what I asked it to. I did do both pages, so I'll see pages one and two including the background colors, and again, the great thing about PDFs is they're very easy to email to people and send online because they are a smaller file size and the person you send them to does not need Visio to be able to open them and view them and print them.
