You welcome to Microsoft 365 Outlook beginners course. In this lesson, we will review how to create and edit calendar appointments in Outlook. My name is Kawana and I will be your instructional guide for this lesson. To begin, you will open up your. Microsoft 365 account by going to Office. Once the application is open, you will click on the Outlook icon to open your Outlook account. One of the options for managing your. Outlook account is to manage upcoming events. That may take place that you want to track. To be able to complete these activities. You will go to your calendar area. By clicking on the calendar icon. And here I have the option of scheduling events, whether they're appointments, personal or. Work related, or business meetings that I. Want to invite others to. Appointments are activities that you schedule on your calendar that do not involve inviting other people or reserving resources. A meeting is a calendar event that you send to other people. You can create both appointments and meetings in the same way. The main difference between the two is. For meetings, you more than likely will be inviting others to attend, and appointments are just activities that you might engage in. To create an event on your Outlook Calendar, you will go to the Home. Tab, click on the New Event button, and select the option for Event. We'll open up your. Play to be able to create your event. Some information that you can include when. Scheduling an appointment or an event is. The name or title of the event. If you are inviting others, you can. Select those individuals from your contact list. Or people that you've communicated with recently. From the Invite Attendees area, you enter the dates and times that the event will take place location also, if you. Want to receive a reminder before the. Event takes place, you can schedule when. You would like that reminder to come. You can add descriptions and attachments to your event. So we're going to schedule two types. Of events in this lesson to see the difference as far as the information you may include. First is we're going to schedule a. Meeting and the meeting is going to. Be for a budget review. So we'll enter the title for the. Meeting and we want to invite others to attend. So click in the Invite attendees area. And it's going to give me a. Suggested list of contacts from those contacts that I have currently in my contact list. So I can select those that I. Would like to attend that meeting. And. It will populate either their name or email address depending on how they are. Set up in my account. Next, we'll select the date for the event. So we're going to have this meeting next week on the 14th. The meeting will start at 02:00 p.m.. So we'll select the start time and. We'Re going to schedule to meet for about an hour. So we're going to select the end. Time that would match. And then for location, we're going to. Meet virtually on Microsoft teams. So I'm just going to put that information in as a meeting location. If you notice by default when you're. Typing in your location. Suggested businesses will. Be populated based on what you're typing. So you could select if you have a specific location that you've identified that you want to include, you could select. From the list or just continue typing what you need to enter for a location and then move to the next item. So a reminder by default is set to 15 minutes before, but you can select any other time range depending on. How soon you want that reminder to come. Or if you do not want a reminder, you can just select the option. Don't remind me. So we're going to schedule to receive a reminder 30 minutes before and then. Again you can add a description or documents. So if you have an agenda or any other additional information you want to provide prior to the meeting, you can attach those items. Because we've invited others to this meeting. We'Re going to get the option to send. It will do two things when we. Complete, it will send an email inviting those attendees that we've listed an option. To add this event to their calendar and it will also save the event on our calendar. So I'm going to click Send and. Then when we go to our calendar for next week, we should now see. That that event is now showing on our calendar. So, next option is we want to. Schedule an appointment that will involve just me. So I'm going to schedule an appointment. For an annual dental cleaning. Enter the title. There's no need to invite anyone else because this appointment is just for me. Enter the date and time this event will take place. So it's going to take place on the 17th. Start time will be 430 and we're going to schedule an. Two hour meeting. Time or event time to prepare for location. We're going to enter the location as mentioned. It'll give some suggestions, you could select. From the suggestions that are provided or. Just type what you need to enter. For the location and continue on. Now, because there's some travel time involved. With this meeting, I am going to. Set an hour before for my reminder. Time to make sure that I am. Able to attend the meeting on time. Again, attach any items that you need to or type a description. Now notice here, since I have not. Invited anyone to this event, the option is simply to save. So when I click save, it should. Now populate that event on my calendar. Once the event has been added to my calendar, I can choose to edit that event by right clicking and edit. If I need to go in and. Change any information or add any additional. Information, I can go in and edit. If the appointment is no longer needed or the event will no longer take place. I can also delete that item by. Choosing to discard and now it gives. Me the ability to track upcoming events by placing them on my calendar in Outlook.
