Hello my name is Bob Akbar and in these lessons you will learn how to do more efficient data entry, how to insert, copy, and move worksheets. In this lesson we will discuss how to create worksheets, workbooks, and themes. When you open up Microsoft Office and you go to office . com you will notice that there is an Excel tab in the side and once you press that you will notice these themes that are up here. And these themes present an easy way to create a worksheet if it's based on something that you would like to use and there are more of them available if you click on more templates. So let us start with doing this one a simple service invoice and you will notice Microsoft will come up and they have already done some formatting for you and they will provide you with where you can put your description, your quantity, your unit price, and it multiplies it up here and it takes care of all the things that Microsoft deemed necessary for you to get started. You will also notice that it tells you some tips here how to pdf the file and how to send it, where to put and what the terms are used for, and also the people that were responsible for providing this to Microsoft. All you have to do is simply go to the far left cell so you will notice A1, B1, and C1 all have company name. Please start on the one that is further to the left A1 and you will notice in your formula bar says company name. You can highlight it and put your name there and there it is. Same thing with the address and the rest of the information that is shown on this sheet and when you are ready to save this you can go to file, do a save as, and it will let you know where to put it. Now another way of creating a new file is you notice on our screen in the beginning of the lesson there was underneath the themes a place to create it. It is very similar to this list so we will just cover this list as I am sure as soon as you see the list in the beginning you will notice it is the same thing. There is a new icon up here. When you press the new icon it will give you a blank workbook which contains the worksheet. Remember workbooks are a collection of your worksheets and we can add more worksheets if we need them by pressing the plus sign here and we can right these different things and we can start our data here and we can format while we are inside our workbooks. We can create graphs or charts and we can cut and paste from one workbook into another and we can even right click on a workbook and you will notice the option of duplicate and now we have a second one data two because we copied that worksheet inside of our workbook. We can also change the tab colors. Now usually what we would like to do is we like to keep our data separate from our charts and we may even want to use a separate sheet if we want to use proprietary information that we want to keep away from people that should not have access to it. So even though our primary data this tab might have the name of the people that have made the sales we may choose to do a table that does the summary of this and you will notice how this is keeping our data in separate places. We'll rename this to results and we can put a formula that refers to the other worksheet and there it is. By being able to organize our data in different worksheets inside of our workbook not only is it more pleasant to the eye and easier to use. As you can see here we can input things much easier into the sheet. We can have our chart for display to external sources and we can represent our summary which in this case is sales results in a completely different sheet so that when we go to pdf it and send it off in an email we are not sending the whole spreadsheet and we are not exposing all the data. It was not a good idea for us to have the name of the sales people if we're sending this in our report. That is not something that is relevant and it may also violate the data securities of our company, local, or professional organization. It's always a good idea to keep in mind that by organizing our data and planning when we are creating our spreadsheet to have separate places for the data detail, our output display, and our results summary we will be able to have a successfully created easy to maintain and properly representing the organization that is expected from us in Intermediate Excel 365.
