Hi. In this lesson we are going to talk about reviewing a presentation. When you create a presentation, you might need some additional feedback from coworkers or other colleagues, so you send your presentation out for review. When you do that, it is best to create a copy of the presentation for yourself, and then you can share your presentation using any variety of methods, including email or a shared cloud location like Microsoft OneDrive or SharePoint. When you've sent your presentation out for review, then the individuals who are reviewing your presentation will have the option to go through your presentation and add comments throughout your presentation. So that's what I'm gonna show you how to do right now is how to review a presentation. So let's take a look at this presentation, and we are going to go to the review tab. And as we are looking at the presentation, we might say, oh we would like to change what this says. So we're going to add a comment. So I'm gonna click here in the word flower club. I'm gonna click new comment and type a comment to the original person who created this presentation. You know, "Is this the name of the meeting?" is the comment that I'm going to add. I press enter or the orange arrow there to add that comment. Now you'll see the purple box around the text box where I added the comment and a little comment, and then it says click to show comments pane, which is already displayed. And you can see the purple comment highlighted to indicate the purple area that's highlighted on the slide. Let's jump through the presentation and move to a different slide. So here we have some photographs. Maybe we need to get an updated photo of someone. So we're gonna add a new comment. Ask for updated photo, control + enter to post. Maybe I needed to have a person who changed their title or something, so I'm gonna select this individual, add another comment. You know, is this the updated title for Mr. Barnes? Control + Enter to post. And now you can see this slide has two different comments on it, both displayed over here on the right. And when I rest my mouse over the comment on the right hand side, it highlights which image the comment was added to. So after you have made your changes to your presentation, you can save it and send it back to the original person who created the presentation. I'm gonna go ahead and save this presentation. And then you bring back in your reviewed presentations from various individuals, and you want to compare them to the original presentation. So I, before sending this out for review, had saved a copy of this presentation called Flower Club Meeting original. I'm going to click on the compare button, so that I can compare the reviewed and the original presentations together. So I click compare, and it says, which is my original or reviewed, and this is my Flower Club Meeting Original. I'm going to select that. Then I'm going to select Merge. Now it merged the two together. You will see over on the right changes and comments. And if I click on the review tab, I have the compare group. I can click on next, and it's going to jump to the different changes between my original and my reviewed copy. And I can click next. And when I do, I can accept or reject the change. I'm going to reject this change. Then next, do I want to accept or reject this change? And I can choose to accept. I can accept all changes to this slide. I can accept all changes to this presentation. So I have various options when I'm accepting or rejecting my changes in my presentation. Okay, so I'm comparing the reviewed and the original. So the first slide is the one where there was actually a comment. So I can click on this comment, and I can choose to mark it resolved or I can delete it. I could respond to this individual. They both happened to be me, but let's say that it was a different individual. Yes, this is correct. And then I can mark this as resolved. So you can go through your presentation. You can find those comments just like you could find the changes by clicking next and previous. I can also click next, and it jumps all the way down to the next comment which was on the slide with the pictures of our extended team. And I can delete the comment because I don't feel it's necessary. I can click next, next and it will just keep circling through all of the comments in my slide until I have resolved or ignored them all. This one is marked resolved. I'm back at the beginning of my presentation, and I have gone through and checked all of my reviewing changes for this presentation. I can then save this presentation with all of the changes based on my original and my reviewed copy of the presentation. Another thing that you can do on the review tab is, again, you do have your proofing tools are found here, your spell check and your thesaurus. So if you're going through your presentation, Microsoft will automatically add the little red squiggly line if you were to misspell a word. Let's say I misspelled the word flower here. Microsoft will add that little red line. But if you don't pay attention to those or you wanna double check after you're all done you can use the proofing tool on the review tab of the ABC spelling. It will go through the presentation, find your misspelled word, suggest some words that you may be trying to spell, then you can choose to change it or ignore it. Sometimes Microsoft's dictionary is going to stop on words that are either proper nouns or names or acronyms that you may use in your organization. And if that's the case, you might wanna add those to your dictionary so it doesn't stop on those and indicate that they're misspelled if you know that in fact that is a proper noun or name or acronym that you use. So I'm going to go ahead and choose the correct spelling of flower and then click change. And here it is, it's stopping on someone's name and I can choose add, and it is going to add to my dictionary so that it won't stop on those names in the future. So it says the spelling is complete. I go ahead and click okay, and I am done with this presentation. I would save my changes by clicking on save on my quick access toolbar, and that's how I can use the reviewing tools that are available to me in Microsoft PowerPoint 2021 for getting comments and accepting and rejecting changes when I send my presentation out for review. So stay tuned for our next lesson where we are going to be taking a look at setting up a slideshow in Microsoft PowerPoint 2021. Thanks for watching.
