Hello, welcome to Knowledge Cities course on Microsoft Access 2021, Intermediate. My name is John Varang and in these lessons, you will learn about database maintenance. In this lesson, I will show you what connected users are and how they affect database maintenance. Connected users refers to all users that are currently using the database, have it opened or are otherwise connected to it. When we talk about otherwise connected, we're referring to connections outside of Microsoft Access. One example might be a linked external data source, the kind with a live link as opposed to a one-time copy. If someone has the original data source opened such as the Microsoft Excel spreadsheet file, that would be considered a connected user to your database. This is because it still has an effect on the database since you can't use the linked database table while they have the spreadsheet open. The more obvious way that you can have connected users is any user that has your Microsoft Access database file open, whether they are actively using it or not. So why do we care about connected users? We care about them because when we discuss the various types of database maintenance, the first thing we always have to check is whether there are connected users. If there are any connected users, we can't run any database maintenance tasks. You either have to ask them to quit or close out their sessions, or you can forcibly break their connections, which is essentially kicking them off. However, if you kick them off, there can be repercussions. If users have any unsafe changes, or if they're in the middle of making an edit, those changes will be lost. This could result in linked tables no longer being synchronized to their external data sources. You can also end up with a failure of data integrity within the database itself, not just to the external data sources. For example, if you have a form or custom macro code that inserts data into a second table, when you add data to a first table, and you happen to get disconnected from the database in the middle of this process, then you can potentially end up with one of the tables updated and not the other one. This situation most commonly could occur when you have audit tables that track and log all user activity. Data integrity issues like this can be difficult to fix after the fact, so it's best to try and prevent them whenever possible. Given these potential consequences, it's always best to ask users to first save their work and then quit their applications before running any database maintenance tasks. You should only resort to kicking users off or forcibly disconnecting them if there is no other option or you are absolutely sure there won't be any negative repercussions. Thanks for watching.
