Hello. Welcome to KnowledgeCity's course on Microsoft Access 2021 Beginner. My name is John Varon, and in these lessons, you will learn about queries. In this lesson, I will show you what queries are. Queries are one of the main ways you can interface with the data you have in your database. Queries can be used in a variety of ways. The most common way to create a query is by using a query language known as SQL, also pronounced as "sequel." It stands for Structured Query Language. Using SQL, you can write any type of query no matter how simple or complex. However, it can take some time and effort to become proficient with SQL, and some things can become quite difficult. To help with this, Microsoft Access has two other methods that can make it easier to create the most common types of queries. One is the query wizard, which will guide you step by step through the process of creating a query. It is simple to use, but is also somewhat limited in the types of queries it can handle. Access also has the query designer, which is sort of a compromise between the query wizard and manually writing queries using SQL. It can be good for queries that are too complicated for the query wizard or to practice while learning SQL. And of course, Microsoft Access also supports full SQL queries as well. Each has its place and purpose, and you should choose whichever method suits your purpose the best. Microsoft Access also allows you to save your queries, and they show up on the left side in the object viewer. They can be run by either double clicking the name or by right clicking and choosing opened. Constructing a query can range from extremely simple to incredibly complex depending on what you're trying to do. A query is generally constructed out of three required parts. The first part is what you want to do, meaning do you want to retrieve data, do you want to add data, do you want to edit it, or do you want to delete data? The second part states what specific pieces of information you're interested in. For example, which fields you want to retrieve, things like last name or first name. The third part is the source of the data, which is most often one or more tables. So, using our students table as an example, we might say retrieve data for part one, which is what we want to do, then last name for part two, that's the piece of information we're interested in, and finally, the students table would be part three, that's where we want to get it from. If we wanna write this using SQL, we can open up a SQL editor window by going to SQL View on any of the saved queries. First you will have to open it in design view and then go to SQL View. I'm just gonna delete what's here. So to make our query, we would type select last name from students. This would return a list of all the last names from the students table. Select is a keyword in SQL, which means we want to retrieve data. Next comes the field name we're interested in. From is another keyword in SQL, which precedes the name of the table that that field is in. And then finally, the table that the field is in. Besides the three required parts of the query, there are more optional parts that can be used to do things like filter the results, sort the results, join tables and relationships, group data, and to do calculations like totaling values.
