Hello. Welcome to Knowledge City's course on Microsoft Access 2021, Beginner. My name is John Varon, and in these lessons you will learn how to get started with Microsoft Access 2021, including how to install it and get it running. In this lesson, I will show you what Microsoft Access is, and what it can be used for. Microsoft Access is a database system that can run on your desktop or laptop computer without needing a server, unlike most database systems. In addition, it also provides a graphical interface to let you work with the database, as well as other software tools to help you create your own database connected applications. It is part of the Microsoft 365 suite of applications, which was formerly known as Microsoft Office. It is also available to purchase by itself. Access has been around since 1992, so it's had plenty of time to mature and develop into a robust and feature rich application. To get a quick idea of what Access is like, we're going to take a look at one of the sample databases that it comes with. This is a student's database, and it has just a little bit of data already filled in for us. As you can see on the left, Access has different types of objects to help us work with our data. Tables are where our data is actually stored, and Access supports many features for creating and working with tables. Here is an example of the students table, which holds all the data for all the students in a school. As you can see, only a few students are filled out for right now. Next are queries. Queries allow us to request information from our data. Here's a query that just shows us all the information about each student. This looks a lot like the table we just looked at, but that's only because it's configured that way. You could configure this to return data in a different format, a different order, whatever you wanted. Forms are the graphical interface which we can use to add or edit our data. For example, here's one that shows us the list of students, and allows editing. Here's another form, that shows all the details for one particular student. You could even add their pictures in here if you wanted. There are also reports, which are kind of like pre-made queries that you can design to look how you want. Here's an example report that shows all the students in the school. You would be able to customize the header, the footer the fonts, however you wanted, so you could get this looking exactly like you envisioned. Access also has many other advanced features, such as macros, custom coding, and sharing data with other database systems. Thanks for watching.
